2025 IAP Triennial Conference: Participation Guidelines and Travel and Funding Policies

The InterAcademy Partnership (IAP) is pleased to announce that its 2025 Conference and General Assembly will take place from 8 to 11 December 2025 in Cairo, Egypt and online. This prestigious event will be hosted by the Academy of Scientific Research and Technology (ASRT), bringing together leading scientific minds, policymakers and stakeholders from around the world.

Participation Guidelines

IAP Triennial Conference

Participation in the 2025 IAP Triennial Conference is open to interested parties and requires online registration and organizer approval.

IAP General Assembly

Participation in the IAP General Assembly is for representatives of IAP Member Academies, Young Affiliates, and observers only.

Each IAP Member Academy or Young Affiliate (whose status has been formally approved by the IAP Board by 31 July 2025) is entitled to send their representatives to the IAP General Assembly.

Travel and Funding Policies

Academy or Affiliate representatives from High-Income Countries (HIC) are responsible for their own travel expenses.

  • Academy or Affiliate representatives from Low- and Middle-Income Countries (LMIC) may receive modest travel support from IAP, with the percentage of support ranging from 70% to 100% of the airfare cost, depending on the number of requests and the availability of funds. The allocation of IAP travel support will be equitable for all beneficiaries and will only apply to one representative per IAP Member Academy or Young Affiliate. Any additional representatives or accompanying persons must cover their own travel expenses – unless they hold a formal role within the IAP (see below).
  • Conference Keynote Speakers: Travel expenses for keynote speakers will be covered by IAP, with funding limited to economy class airfare.
  • Conference Panellists: Travel expenses for panellists will be covered by the entity proposing the session or through any other arrangement made within the panel. IAP Member Academies and Young Affiliates from Low- and Middle-Income Countries (LMIC) may receive modest support from IAP to finance the travel of panellists for their proposed sessions.
  • Outgoing and Incoming members of the IAP Governing Bodies from High-Income Countries (HIC) are responsible for their own travel expenses.
  • The outgoing or incoming Members of IAP Governing Bodies from Low- and Middle-Income Countries (LMIC) may receive modest travel support from IAP, with the percentage of support ranging from 70% to 100% of the airfare cost, depending on the number of requests and the availability of funds. The allocation of IAP travel support will be equitable for all beneficiaries.

Accommodation

Accommodation at the St. Regis Hotel – New Cairo, the venue for the 2025 IAP Conference and General Assembly, is generously provided by the hosts, the Egyptian Academy of Scientific Research & Technology (ASRT). Depending on the participant’s role, such as speaker, panelist, Academy representative or member of the IAP Governing Bodies, accommodation is covered for a duration of three to five nights, with the latest possible check-out date being 12 December 2025. Accommodation is not provided for general attendees of the conference who do not hold a formal role within the IAP.

  • Conference Participants, Speakers and Panelists are expected to arrive on Monday, 8 December 2025, with the option to arrive on Sunday, 7 December 2025, and check out on Thursday, 11 December 2025. Any additional nights beyond this period will be at the participant's own expense. Any extra fees incurred for accompanying persons or additional hotel services will also be the responsibility of the participant. Accommodation is provided for only one representative per IAP Member Academy or Young Affiliate. Any additional representatives must cover their own accommodation expenses – unless they hold a formal role within the IAP or are speakers or panelists.
  • Participants of the IAP General Assembly are expected to arrive on Monday, 8 December 2025 (with the option to arrive on Sunday, 7 December 2025), and check out on Friday, 12 December 2025. Any additional nights beyond this period will be at the participant's own expense. Any extra fees incurred for accompanying persons or additional hotel services will also be the responsibility of the participant.
  • Outgoing or incoming Members of the IAP Governing Bodies are expected to arrive on Sunday, 7 December 2025, to attend official meetings the following day, and check out on Friday, 12 December 2025. Any additional nights beyond this period will be at the participant's own expense. Any extra fees incurred for accompanying persons or additional hotel services will also be the responsibility of the participant.
  • Conference Participants without a formal role within the IAP can benefit from reduced hotel rates. This request can be made during the online registration process under the “Accommodation” section.
